Глава 5. Телефонные разговоры (Telephone calls)

Телефонные разговоры являются необходимой составляющей делового общения. Ниже приведены основные правила телефонного разговора:

 

1. Be prompt in answering the telephone.

2. Avoid being misunderstood – speak directly into the mouthpiece and pronounce words and numbers distinctly.

3. When answering, give the firm's name immediately, and then your own name.

4. If the person wanted is not in, offer to take a message for him.

5. Write down every message and put it in a conspicuous place on the desk of the person for whom it is intended.

6. Check the accuracy of names and numbers received over the phone.

7. Be brief, courteous and businesslike.

8. Keep an index of frequently called numbers beside the telephone.

9. Consult the telephone directory for information about long-distance calls, regular charges, reversed charges, reduced rates, and other special services.

1) A. Good morning! This is Bill Black' s manager speaking. Can I help you?

B. Good morning! I am from ABC Company – William Adams. Is Bill Black available?

A. Unfortunately, he is in France. He won't be in the whole week.

B. You must have a document with our price-lists. Please, find the document and tell me whether it has been signed.

A. Please, wait a minute...Hallo, I have found it, Mr. Adams. It has been signed.

2) A. Good afternoon! This is Helen Hunt' s manager speaking. Can I help you?

B. Oh, good afternoon. This is Dorothy Roberts from the building company. Is Helen Hunt in?

A. She is in the office. But not exactly in her study. Can I take a message?

B. Please, tell her to ring me up at 5 p.m. My telephone number is 124 356.

A. Fine. As soon as she comes, I'll tell her.

3) A. Good morning! Consolidated industries. Can I help you?

B. Good morning! I'd like to speak to Mr. Drake, please.

A. Who is calling, please?

B. My name is Tom James. I am from the building company.

A. Will you hold the line a moment, Mr. James? I'll see if Mr. Drake is available.

B. Yes, of course. Thank you.
