Correspondence and communication between diplomatic missions and the host government

All formal communications between a diplomatic mission and foreign government are made by the head of mission and to the Ministry of Foreign Affairs. At present the complexity of modern 43… has reduced the strict formalities in 44… countries.

The Minister for Foreign Affairs is customarily accessible to heads of 45…, and appointments are usually made 46… telephone. Such top level approaches are normally limited to matters of special 47….

a ) The Official Note in the third person

The customary method of correspondence between a diplomatic mission and Ministry of Foreign Affairs is Official 48…. The note is typed in a recognized international 49…on official paper headed 50…the national crest and address, and begins as follows:

The UK Embassy presents its compliments to the Ministry of Foreign 51… and has the honour to bring to their attention the following 52…_____________

The substance of the note then follows and document terminates with a formula on the following 53….

b ) The Note Verbale

The note verbale is written in the third person and its general form is that of the 56… note.

The letter in the first person is a 57… formal approach to Minister for Foreign Affairs by a head of mission or to an official in the Ministry (by a 58…of the diplomatic staff of a mission). It is composed in the first 59… and 60… always signed. This is written on correspondence paper with the address and date at the 61…, and would be on the following lines.

An official letter from a head of mission to the Minister for Foreign Affairs usually begins:

.... Your Excellency or sometimes just" 62…" or "Excellency", followed by:

I have the honour.... and ends with the sentence:

An aide-memoire is a form of diplomatic documents, which explains a 64… action or point of view or puts forward a proposition. It 65… headed ‘ Aide - Memoire’ and bears the date at the 66…, but has no signature, address or Embassy stamp.
